1 INTRODUCTION

Veterans Housing Scotland respects your privacy and is committed to protecting your personal data. This privacy policy will inform you about how we look after your personal data, your privacy rights, and how the law protects you when you:

  2. make a donation to us (regardless of the form in which this donation is made);
  3. take part in any fundraising activity or event for our benefit;

2.1 Purpose of this privacy notice 

This privacy notice aims to give you information on how Veterans Housing Scotland collects and processes your personal data through your use of this website, including any data you may provide through this website; when you donate to us.  It is important that you read this privacy policy together with any other privacy policy or fair processing notice we may provide on specific occasions when we are collecting or processing personal data about you to be fully aware of how and why we are using your data.  This privacy notice supplements the other notices and is not intended to override them.

Veterans Housing Scotland, which is a Scottish Charity has its registered office at 525 Ferry Road, Edinburgh EH5 2FF with Registered Charity Number SC003174, is the controller and responsible for your personal data (referred to as "Veterans Housing Scotland", "we", "us" or "our" in this privacy notice).  Our Company Registration no is 10795.

3 INFORMATION THAT WE COLLECT FROM YOU

3.1 What is personal data?

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data from which an individual can no longer be identified (anonymous data).

3.2 What personal data do we collect from you?

We may collect, use, store and transfer different kinds of personal data about you, which we have grouped as follows: 

  • Identity Data: includes first name, maiden name, last name, username or similar identifier, marital status, title, date of birth and gender;
  • Contact Data includes billing address, delivery address, email address and telephone numbers;
  • Financial Data: includes bank account and payment card detail (if provided when donating);
  • Donation Data: includes details about donations made by you and other details of products, tickets and services you have purchased from us;
  • Technical Data: includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website;
  • Usage Data: includes information about how you use our website, products and services and your attendance at events;
  • Equal Opportunity Data: includes information on your gender, sexual orientation, ethnicity, age, religion, and any disability that you may have; and
  • Marketing and Communications Data includes your preferences in receiving marketing from us and our third parties and your communication preference. 

 4 HOW IS YOUR PERSONAL DATA COLLECTED?

 We use different methods to collect data from and about you including through:

  • Direct interactions: You may give us your Identity Data, Contact Data, Financial Data and Donation Data by filling in forms or corresponding with us by post, phone, email or otherwise.  This includes the personal data you provide when you:
    • donate to us through our website;
    • fill in any forms on our website;
    • request marketing to be sent to you;
    • register to receive or download information, newsletters or other documentation;
    • -give us some feedback. 
  • Automated technologies or interactions: As you interact with our website, we may automatically collect Technical Data about your equipment, browsing actions and patterns. We collect this personal data by using cookies, server logs and other similar technologies. We may also receive Technical Data about you if you visit other websites employing our cookies. Please see paragraph 8 below for more information.
  • Third parties or publicly available sources: We may receive personal data about you from various third parties and public sources as set out below: 
    • Identity, Contact, Financial, Donation and Marketing and Communications Data from any third-party donation or purchasing site (e.g. JustGiving, Virgin Giving, BTDonate or PayPal).
    • Technical Data from analytics providers, advertising networks, and search information providers.

5 HOW WE USE YOUR PERSONAL DATA

5.1 What processing grounds do we rely on?

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Where you have provided us with your consent to send you marketing communications;
  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests (for example, undertaking analysis and research to improve our website user experience); and

9 MARKETING

9.1 Marketing by us

We may use your Identity, Contact, Financial, Donation and Marketing and Communications Data to form a view on what we think you may want or need or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you (we call this marketing). You will receive marketing communications from us if you have given us your express consent to receive marketing communications. Where you have given us your express consent, we will send marketing communications to you on behalf of our third-party sponsors and partners.

9.2 Third-party marketing

We are committed to providing you with information on products and offers which are relevant to you. If you have consented to receive marketing, we will use your email address to promote our adverts to you on Facebook, Google and other social media channels.  These adverts may appear on your Facebook newsfeed if you have a Facebook account linked to an email address that has been provided to us.  Suppose you no longer wish to receive the advertisements detailed above. In that case, you can unsubscribe at any time by contacting us at admin@vhscot.org.uk. Please note; you may receive adverts from us which are not connected to having provided us with your email address. An example of this may be when Facebook uses users' information in accordance with its privacy and cookies policies to advertise. We cannot accept responsibility for any such advertisements.

9.3 Opting out

You can ask third parties or us to stop sending you marketing messages at any time by following the opt-out links on any marketing message sent to you or by contacting us at any time. You may still receive notifications from us for nonmarketing purposes, such as service messages providing important announcements where you opt-out of receiving these marketing messages.

10 THIRD PARTY WEBSITES

Because we want your site experience to be as informative and helpful as possible, we may provide links to websites operated by third parties ("Third Party Websites").  Please be aware that we do not control such Third-Party Websites.  Such Third-Party Websites may send their own cookies to users; otherwise, they collect data or solicit personal information.  We assume no responsibility for the information gathering practices of Third Party Websites that you can access through our Site.  We encourage you to review each Third Party Website's privacy policy before disclosing any personally identifiable information.

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.  In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know.  They will only process your personal data on our instructions, and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach.  We will notify you and any applicable regulator of a breach where we are legally required to do so. In some circumstances, we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further policy to you. Although we will do our best to protect your personal data, we cannot guarantee the complete security of your data transmitted to us electronically; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to restrict unauthorised access. All credit/debit card data taken through our website is encrypted in accordance with industry standards, including PCI-DSS.
